TABLE OF CONTENTS
1. WHAT INFORMATION DO WE COLLECT?
Information you give us:
- Vino Van Club waitlist: name and email address (stored in our Lovable Cloud database and copied to Klaviyo).
- Dispatch newsletter: email address (and name if you provide it), submitted via Klaviyo.
- Enquiries: anything you include when you email book@vinovan.club or write to us about corporate, festival, or private-hire work.
Information collected automatically: aggregated, cookieless analytics via Plausible — page URL, referrer, browser, device type, country. This does not identify you personally and is not shared with advertisers.
Sensitive information: we do not collect it.
From third parties: we do not buy or receive personal data from data brokers or social networks.
2. HOW DO WE USE YOUR INFORMATION?
- To manage the Vino Van Club waitlist and tell you when memberships open.
- To send you the Dispatch newsletter you subscribed to (you can unsubscribe at any time via the link in every email).
- To respond to enquiries and quote private, corporate, or festival bookings.
- To understand which pages of the site are useful (aggregate analytics only).
- To keep the site secure and prevent abuse of our forms.
- To comply with our legal and tax obligations.
We do not use your information for automated decision-making or profiling, and we do not sell it.
3. LEGAL BASES FOR PROCESSING (UK/EU)
- Consent — for the Dispatch newsletter and the Vino Van Club waitlist. You can withdraw consent at any time.
- Legitimate interests — for responding to enquiries, running privacy-friendly aggregate analytics, and keeping our site secure.
- Legal obligation — for accounting, tax, and responding to lawful requests.
We only share your data with the service providers we need to run the site and communicate with you. Each one acts as a processor on our behalf under a data-processing agreement.
- Lovable Cloud (Supabase) — hosting the website and storing waitlist submissions. Data hosted in the EU. Privacy.
- Klaviyo, Inc. — newsletter and waitlist email delivery (USA). Privacy.
- Plausible Insights OÜ — cookieless website analytics, hosted in the EU (Germany). Privacy.
- IONOS SE — domain registration and DNS (Germany). Privacy.
- Google (Search Console) — aggregate search-performance data for our own domain; Google does not receive your personal information through this integration. Privacy.
We may also disclose information if required by law, court order, or to protect our legal rights.
5. INTERNATIONAL DATA TRANSFERS
Klaviyo is based in the United States. When your email address is sent to Klaviyo, the transfer is protected by the UK International Data Transfer Addendum to the EU Standard Contractual Clauses, and Klaviyo is certified under the EU–US and UK Data Privacy Framework. All other processors listed above host your data in the UK or EU.
We use Plausible Analytics, which does not set cookies and does not track visitors across sites. Because no personal data is processed for analytics, no consent banner is required for it under UK GDPR/PECR. We do use a small amount of local storage to remember functional preferences (such as dismissing our cookie notice). See the Cookies Policy for the full list.
7. HOW LONG WE KEEP YOUR INFORMATION
- Vino Van Club waitlist: until the Club opens plus 12 months, or until you ask us to delete it.
- Dispatch newsletter: until you unsubscribe.
- Enquiries and bookings correspondence: up to 24 months after our last contact, unless a longer period is required for tax or legal reasons.
- Aggregate analytics: up to 24 months (no personal identifiers).
8. HOW WE KEEP YOUR INFORMATION SAFE
We use HTTPS across the site, row-level security on our database, restricted access to our email and analytics tools, and processors that are certified to recognised security standards. No system is 100% secure, so we cannot guarantee absolute security.
9. CHILDREN
Our Services are intended for adults over the age of 18 (in line with UK alcohol laws). We do not knowingly collect information from children. If you believe a child has provided us with personal data, please email book@vinovan.club and we will delete it.
10. YOUR PRIVACY RIGHTS
Under UK GDPR (and the EU GDPR where it applies) you have the right to:
- Access the personal information we hold about you;
- Correct information that is inaccurate or incomplete;
- Ask us to delete your information ("right to be forgotten");
- Restrict or object to our processing;
- Withdraw consent at any time;
- Receive your information in a portable format;
- Lodge a complaint with the UK Information Commissioner's Office (ico.org.uk).
To exercise any of these rights, email book@vinovan.club. We will respond within one month.
11. DO-NOT-TRACK
Because we don't track visitors across sites, DNT signals do not change our behaviour — we already don't do the thing DNT asks us not to do.
12. UPDATES TO THIS NOTICE
We may update this notice from time to time. The "Last updated" date at the top always reflects the current version. Material changes will be highlighted on this page.
